Role Overview

The Integrated Facilities Manager is responsible for leading a team of highly skilled Integrated Facilities Technicians while ensuring the smooth operation of all Community maintenance, apartment turnover, and preventative maintenance projects. This role works closely with Community management to coordinate tasks, manage resources, and guarantee that all projects are completed on time, safely, and to the highest quality standards. The successful candidate will be a hands-on leader with a strong focus on safety, quality control, team development, and operational efficiency.

 

Project Planning & Scheduling:

  • Develop, manage, and adjust daily, weekly, and monthly schedules for Integrated Facilities Technicians to ensure timely completion of apartment turnovers, preventative maintenance, and other maintenance projects.
  • Collaborate with the Community Manager (CM) and Service Manager (SM) to prioritize projects, considering deadlines, resource availability, and urgent needs.
  • Allocate personnel, equipment, and materials strategically to maximize efficiency and ensure project timelines are met.

Team Supervision:

  • Assign tasks based on individual skill sets and experience to ensure work is completed effectively and efficiently.
  • Monitor technician performance, provide ongoing feedback, training, and support to ensure continuous improvement.

Quality Control:

  • Implement robust quality assurance processes to ensure all work performed meets or exceeds the company's high standards.
  • Analyze patterns of recurring issues, implementing process improvements to prevent future occurrences and elevate the overall quality of services provided.

Safety Management:

  • Actively enforce OSHA standards and company safety policies to ensure a safe working environment for all team members.
  • Lead regular safety training sessions, ensuring all staff are aware of potential hazards and the importance of adhering to safe work practices.

Inventory & Equipment Management:

  • Oversee the management of tools, equipment, and materials, ensuring that supplies are adequately stocked for upcoming projects.
  • Maintain relationships with suppliers to ensure timely procurement of materials and negotiate cost-effective agreements for tools and equipment.

Communication & Coordination:

  • Serve as the primary liaison between the Integrated Facilities team, Community management, and other key stakeholders, ensuring seamless communication regarding project status, challenges, and timelines.
  • Provide regular updates to management on progress, potential delays, and any risks that could impact project completion.
  • Foster strong relationships with vendors and contractors to ensure timely completion of outsourced tasks and efficient resolution of any project-related issues.

 Administrative Duties:

  • Maintain accurate and up-to-date records of all work completed, including time logs, material usage, and detailed descriptions of any issues encountered during the process.
  • Oversee the scheduling of apartment turnovers, coordinating closely with other teams to ensure apartments are prepared for new Residents on time.
  • Generate and manage invoices for all services rendered, ensuring accuracy in billing and ensuring that charges are reflective of the work completed.
  • Handle the billing process for each property, ensuring invoices are sent out promptly and payments are tracked and processed efficiently.
  • Implement a work order management system that ensures each invoice is linked to a corresponding work order, enhancing accountability and making it easier to track projects from start to finish.
  • Maintain detailed records of all turnover activities, including timelines, costs, and any deviations from the original scope of work.

Training & Development:

  • Train new Integrated Facilities Technicians on company standards, job-specific techniques, and safety protocols.
  • Encourage continuous professional development, staying up to date with new technologies, methods, and best practices in facilities management.

Qualifications

  • Bachelor’s degree in Facilities Management, Property Management, Engineering, or a related field.
  • 5+ years of experience in facilities management, property management, or a similar field.
  • Strong knowledge of building systems, including HVAC, electrical, plumbing, and energy management.
  • Proven experience managing vendor contracts, budgets, and overseeing large-scale projects.
  • Familiarity with property management software and industry-standard tools for facilities management.
  • Strong leadership skills with the ability to manage and develop a diverse team.
  • Excellent communication, problem-solving, and organizational abilities.
  • Thorough understanding of OSHA and other health and safety regulations.
  • Ability to multitask and manage multiple projects simultaneously, while maintaining attention to detail.
