Role Overview

As an Executive Assistant, you handle complex situations and multiple responsibilities, including building a schedule for maximum productivity, planning meetings, preparing materials, managing projects, bringing associates up to speed, and more. Here are the roles you’ll play: 

 

The Right-Hand Person 

  • Maintain meeting calendars, coordinate schedules, and organize all travel arrangements 
  • Carry out the executive leader’s departmental goals and visions 
  • Assist in day-to-day projects and assignments 
  • Represent the executive leader both internally and externally 
  • Maintain the strictest level of confidence 
  • Help the executive with prioritization of professional and personal commitments  

The Task Master 

  • Assist in overseeing budget management; prepare expense reports 
  • Compose reports and briefings as needed 
  • Provide administrative support and other required assistance 
  • Prepare numbers and present your findings to senior-level executives 
  • Manage and participate in special projects as needed 

 

The Communicator 

  •  Use your written, verbal, and interpersonal communication skills to draft and prepare various communications 
  • Prepare presentations and materials for internal and external delivery 
  • Record, transcribe, and distribute meeting minutes 
  • Communicate to internal and external parties on the executive leader’s behalf, liaising between all groups to streamline correspondence 
  • Develop solid working relationships inside and outside of the company

Qualifications

  • Strong 7+ years of experience as an Executive Assistant for a fast-growing organization with a  background in budget management and meeting/event coordination  
  • Strong analytical and problem-solving skills; high attention to detail and organization 
  • Self-starter attitude while working on multiple assignments in a fast-paced environment 
  • Exceptional communication skills with diverse personalities 
  • Proficiency in Microsoft Office Suite
