Role Overview

The Management Coordinator will manage and oversee operational projects related to property management and compliance. This role involves maintaining comprehensive project documentation, preparing regular reports, and implementing robust processes for tracking work and milestones. The Management coordinator will actively participate in discussions with leadership and cross-functional teams to drive improvements and support decision-making.
 

Project Coordination, Reporting, and Documentation

  • Manage and oversee operational projects related to property management and compliance.
  • Maintain comprehensive and organized project documentation throughout the project lifecycle. This includes contracts, leases, and any other relevant documentation. Ensure all documentation is accurate, up-to-date, and easily accessible for reference and audit purposes.
  • Prepare regular reports on project status, operational performance, and key metrics for upper management. Maintain accurate documentation, records, and project files.
  • Implement robust processes and tools for tracking work, dependencies, and milestones, ensuring timely execution, transparency and accountability throughout the project lifecycle.
  • Actively participate in discussions with leadership and cross-functional teams to assess current processes, provide insight and drive improvements.
  • Maintain and ensure the accuracy of key operational and financial trackers to support decision-making for executive leadership.

Community Operations Support

  • Develops, establishes and executes the Company’s strategies and practices related to multi-family property management operations providing the platform to enable assets to meet and exceed budgeted financial goals and achieve operational performance and people objectives.
  • Develops strong relationships with key internal and external stakeholders and teams to foster efficient and productive cross-functional collaboration to achieve agreed project deliverables.
  • Maintain and update regional documentation and data for internal and external use
  • Review and analyze financial ledgers, identify discrepancies, and process necessary adjustments to ensure accurate financial records.
  • Support bookkeeping tasks such as tracking invoices, completing ledger adjustments, auditing transactions and ensuring accurate account reconciliations.
  • Demonstrate adaptability in a fast-paced environment, effectively pivoting based on changing priorities, urgent issues, or new business needs.

Communication and Transparency

  • Maintains open and transparent communication channels regarding project status, issues, and outcomes. Provides timely updates and respond promptly to inquiries or requests for information.
  • Communicate and work with regional site teams and support departments to collect documentation and data and ensure it is accurate and up to date.
  • Interpret and enforce company policies while maintaining customer-service mindset, ensuring compliance measures are met while addressing concerns with professionalism and empathy.
  • Proactively identify and escalate unresolved issues to the appropriate teams when needed, ensuring follow-through and resolution to avoid disruptions.

Qualifications

  • Bachelor’s degree in Business Administration, Real Estate, or related field preferred.
  • Minimum of 1 year of experience in multi-family property management operations role.
  • Proven experience in project management, operations management, or property management within the real estate industry.
  • Strong understanding of property management operations, including leasing processes, compliance and resident relations.
  • Experience with bookkeeping or financial administration, including invoice processing, account reconciliations, and auditing financial records.
  • Attention to detail with a commitment to accuracy and completeness in documentation and reporting.
  • Strong organizational and time management skills with the ability to manage multiple projects simultaneously.
  • Excellent communication skills, both verbal and written, with the ability to interact effectively with stakeholders at all levels.
  • Proficiency in key Microsoft Office applications (e.g., Outlook, Excel, Teams, SharePoint, Power BI).
  • Knowledge of property management software (e.g., RealPage products, Funnel, Reputation.com) and financial management principles
