Job Overview

The Executive Assistant to the President of Operations will provide administrative and operational support to our President of Operations and the Operations Executive team, ensuring that the leadership team is set up for day-to-day success. This role requires someone who is obsessed with the details, has a proactive mindset, and has a confident “I can do it” attitude toward tasks big and small. This role focuses on administrative support, calendar management, logistics coordination of travel, meetings, and some events.  This is a fast-paced position that requires someone with strength in attention to detail, solid organization, strong communication skills, the ability to handle all responsibilities in a discreet, positive, and efficient manner when under pressure. 

 

This is an in-office position based in our Buckhead office location. This role requires a high degree of professionalism when representing the President of Operations and the team.

 

This role will report to the Director of Strategic Project Implementation. The Operations Executive team includes:

    • Chief Human Resource Officer
    • Chief Technology Officer
    • EVP of Revenue Operations
    • Chief Experience Officer

Roles You Will Play

 

  • Manage prioritization of professional commitments to ensure streamlined scheduling and preparation while continuously looking for ways to improve efficiency of day to day tasks
  • Ensure President of Operations is well informed and proactively prepared for upcoming commitments anticipating needs in advance of meetings, and travel.
  • Ability to switch gears at a moment’s notice pivoting between tasks
  • Prepare e-mails and other correspondence for the President of Operations
  • Proactively connect dots across the organization, involving the right people at the right time in various communication and meetings.
  • Manage invoice processing, reconcile expenses, and generate payment requests for the President of Operations and the Operations Executive team
  • Coordinate all aspects of travel including private air travel, ground transportation, hotel and restaurants for the President of Operations and the Operations Executive team in partnership with market teams
  • Proactively manage calendars and scheduling, meeting room confirmations, catering, technology requirements and documents for the President of Operations and Operations Executive team
  • Maintain the strictest level of confidence in all conversations and transactions regarding business matters

Building Blocks of Success

  • 5+ years of experience as an Executive Assistant
  • Bachelor’s degree preferred, not required.
  • Excellent interpersonal skills: ability to deal effectively with senior-level leadership, establish and maintain cooperative working relationships with a wide range of individuals.
  • Flexible and willing to learn new skills and procedures.
  • A “no job is too small” attitude and service-oriented mindset.
  • The highest level of integrity, confidentiality, and discretion.
  • Demonstrate a friendly and positive attitude when interfacing with people both personally and professionally.
  • Self-starter with bias towards proactivity; emotional and professional maturity.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with ability to multi-task; attention to detail, accuracy, and problem-solving skills.
  • Willingness to work on weekends and after hours as needed and as required.
  • Proficient computer and Microsoft Office Suite skills.
