Job Overview

As a Concierge, you play a pivotal role in ensuring the smooth and efficient operation of the office. This position is responsible for a wide range of administrative and clerical tasks that support the overall functioning of the office, contributing to a productive and organized work environment.

Roles You Will Play

The Go-To Person

  • Serve as the primary point of contact for building management and service providers for office maintenance, repairs, and improvements
  • Answer and direct phone calls, handle incoming and outgoing mail and packages and assist with other administrative tasks
  • Assist with planning and coordinating office events, meetings, and other functions, including catering and logistics

 

The Office Overseer

  • Manage telephone, email, and mail to ensure professional communications both internally and externally
  • Assist as needed with maintenance of office areas and equipment – as well as layout, arrangement, and housekeeping of office facilities
  • Monitor and maintain office supplies inventory, placing orders as needed to ensure the office is stocked with necessary materials.
  • Perform opening and closing duties each day to ensure a successful work day for all associates

 

The Multi-Tasker

  • Maintain clean and organized common areas and meeting rooms to ensure a pleasant work area
  • Facilitate birthday and service anniversary recognition programs, fostering a positive and celebratory office culture
  • Assist in onboarding new employees by preparing workstations, coordinating with IT for equipment setup, and providing office orientation
  • Participate in special projects as needed, contributing to the overall success of the office operations

Building Blocks of Success

  • Stellar 3+ years of experience in administrative or office coordination role
  • Working knowledge of mail processes such as a postage machine, FedEx, and UPS
  • Strong attention to detail and ability to anticipate needs
  • Exceptional planning, organizational, interpersonal, and communication skills
  • Strong verbal and written communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Attention to detail and problem-solving skills
  • Ability to work independently and as part of a team
  • Experience with office management tools and software is a plus
  • Some physical activity, such as lifting and moving office supplies, may be required.
